Terms & Conditions of Participation

 

1. Registration & Payment Schedule

To secure participation in a Crown of Bethlehem Tours (COB) pilgrimage, a non-refundable deposit of $300 per person must be submitted along with a completed and signed registration form. Telephone registrations are not accepted. Reservations are processed on a first-come, first-served basis upon receipt of the required documentation and payment.

A second installment of $1,299 per person is due 150 days prior to the tour’s departure.
Late payments are subject to a non-refundable $150 late processing fee.

Registrations submitted within 90 days of the tour’s departure must include:

  • Full payment via cashier’s check
  • Payment for optional travel protection, if elected
  • A non-refundable late registration fee of $150

All such registrations are subject to availability. COB reserves the right to cancel any booking not paid in full at least 75 days prior to departure, in which case cancellation penalties outlined below will apply.

Important Notice on Credit Card Payments:
If payment is made by credit card, the cardholder acknowledges and agrees to all terms stated herein. Any chargeback or dispute filed with the issuing bank for payments that are not the result of fraudulent use of the card will be considered a breach of this agreement. In such cases, COB reserves the right to:

  • Challenge the chargeback with documentation
  • Pursue legal action for recovery of fees, including chargeback penalties, collection costs, and legal fees
  • Deny future services or cancel participation without refund

 

2. Cancellation & Refund Policy

All cancellation requests must be submitted in writing via certified mail or email. Applicable refund amounts, if any, will be determined based on the date the written notice is received and according to the following schedule. In addition to any supplier-imposed penalties (e.g., from airlines or hotels), COB will deduct the following fees:

  • $100 per person for cancellations received 150 days or more prior to departure
  • $200 per person for cancellations received 149 to 90 days prior to departure
  • $300 per person plus any non-refundable amounts from third-party suppliers for cancellations received 89 to 8 days prior to departure
  • No refunds will be issued for cancellations made within 30 days of departure

3. Travel Documentation

It is the sole responsibility of each participant to possess a valid passport (with at least six months’ validity from the date of departure) and all required visas or medical documentation for the destinations included in the tour.

While COB may assist with visa and travel insurance processes, participants must appear in person for consular interviews when required. COB assumes no liability for denied visas or documentation rejections.

4. Air Transportation

Included air transportation is based on round-trip economy class fares. Business class upgrades may be available upon request for an additional charge and are subject to airline availability.

Airfare pricing and conditions are governed by the operating carrier’s terms and are subject to change without notice. Once issued, airline tickets are non-refundable, unless otherwise specified by the carrier.

5. Airline Seating, Meals & Loyalty Programs

Airline seating is arranged on a group basis and individual requests cannot be guaranteed. COB recommends that travelers contact the airline directly no later than two weeks prior to departure to submit frequent flyer numbers or special meal requests.

6. Travel Insurance

COB facilitates the purchase of travel insurance for all participants for the duration of the tour. However, COB is not responsible for the terms, conditions, processing, or approval of any claims submitted to the insurance provider.

7. Hotel Accommodation

Accommodations are based on double occupancy in twin-bedded rooms. Individuals who register without a travel companion will be assigned a roommate of the same gender, when possible.

Participants preferring single occupancy must request this in advance. Availability is limited and subject to a single supplement charge.

8. Meals

Unless otherwise indicated, tour packages include two meals per day (typically breakfast and dinner). Beverages, alcoholic drinks, and à la carte items are not included.

No refunds will be issued for unused meals. Participants with special dietary needs must provide written notice in advance. COB will communicate these requests to vendors, but cannot guarantee accommodations due to regional limitations.

9. Ground Transportation & Site Access

All land transportation and admission fees to scheduled sites are included in the published tour price unless otherwise noted.
For operational efficiency, the front row seats on the coach bus are reserved for the tour director and group leader and may not be occupied by participants.

10. Pricing & Group Minimums

Tour pricing is based on a minimum group size of 21 participants. Should this number not be met, COB reserves the right to adjust pricing or modify the itinerary accordingly.

All prices are based on current exchange rates, fuel costs, and supplier pricing at the time of quotation. COB reserves the right to revise pricing due to fuel surcharges or currency fluctuations up to 30 days before departure.

11. Deviations from Group Itinerary

COB does not accommodate individual flight deviations from the published group itinerary. Participants wishing to make their own flight arrangements may request a “land-only” package rate by contacting the group coordinator.

12. Baggage Policy

Each participant is permitted to bring:

  • One checked bag
  • One carry-on item

Porterage is included at hotels for one piece of checked luggage only. Airport porterage is not provided. All baggage is the sole responsibility of the traveler and COB accepts no liability for loss, damage, or delay.

13. Sightseeing

Sightseeing excursions are conducted via private motor coach with the services of an English-speaking tour guide or escort. Admission fees to sites listed in the final itinerary are included.

14. Gratuities

Gratuities are not included in the tour cost. Participants should plan to contribute approximately $12 to $15 per person, per day for tipping guides, drivers, and service staff.
