1. Deposit, Payment Schedule & Registration
A $500 non-refundable deposit per person is required at the time of booking with a completed reservation application. This deposit covers administrative services including account management, reservation processing, and operational upkeep. Full payment is due 90 days prior to departure. Reservations made within 90 days of departure require full payment at confirmation and may incur higher pricing, limited availability, or reduced services.
Waitlist Reservations:
A $500 deposit is required to join a waitlist and is fully refundable if COB cannot confirm within 14 days. If COB confirms and the traveler later chooses not to participate, cancellation penalties apply.
International Payments:
Foreign currency payments are converted to USD at the exchange rate on the date received. Fluctuations are the traveler’s responsibility.
2. Accepted Forms of Payment
COB accepts checks, ACH, American Express, Discover, Visa, and MasterCard. COB reserves the right to correct billing errors and re-invoice if needed.
3. Price Guarantee
Prices are guaranteed once the trip is paid in full. Prior to full payment, prices may adjust due to fuel increases, taxes, supplier increases, or exchange-rate fluctuations.
4. Items Not Included
Travel insurance, passports, visas, personal items, beverages, lunches, optional tours, and room upgrades are not included.
5. Passports, Visas & Travel Documents
Passports must be valid for at least 6 months beyond return date. Travelers are responsible for their own visa and entry requirements. COB is not responsible for denied boarding or visa issues.
6. Final Travel Documents
Approximately 21 days before departure, COB uploads flight itineraries, hotel lists, guide information, and emergency contacts. Travelers must review documents within 24 hours. Travel packages with bags, badges, and tags ship 14 days prior.
7. Itinerary Adjustments
COB may modify itineraries due to weather, closures, mechanical issues, traffic, strikes, medical emergencies, or conditions outside COB’s control.
8. Cancellations & Refunds (STRICT POLICY)
From registration to 91 days before departure: $500 penalty.
90–61 days before departure: $500 + 50% of total trip cost.
Within 60 days: 100% penalty.
Airline tickets, including upgrades, are 100% non-refundable once issued.
Refunds take 30–60 days to process. Partial room cancellations may result in single supplements.
9. Travel Insurance
Highly recommended. Premiums are non-refundable. Pre-existing conditions require purchase at registration or within 21 days.
10. Cancel For Any Reason (CFAR)
Available only at registration. Allows cancellation for any non-covered reason up to 48 hours prior. Refund: 80% cash or 100% travel credit. Non-refundable premium.
11. Flights & Airlines
COB acts only as an agent for flights. COB is not responsible for airline delays, cancellations, missed connections, aircraft changes, or rebooking. Travelers must work directly with airlines for compensations or changes.
12. Seat Assignments
Requested but not guaranteed. Airlines may reassign seats at any time. Fees for seat upgrades are non-refundable.
13. Land-Only Travelers & Transfers
For land-only packages, airport transfers are included only if arrival matches group flight schedule and flight details are submitted 45 days before departure. Off-schedule arrivals require private transfers at traveler expense.
14. Hotels & Rooms
Rooms are based on twin or double occupancy. Triple rooms may be small or include rollaway beds. Single rooms require a supplement and may be smaller. COB may substitute hotels of equal category.
15. Dietary Requests
COB forwards dietary needs to suppliers but cannot guarantee availability. Travelers with severe allergies should bring personal food.
16. Photography & Video
By joining the pilgrimage, travelers grant COB permission to use photos and videos for promotional purposes unless opting out in writing.
17. Baggage Responsibility
Travelers may bring one checked bag (50 lbs), one carry-on, and one personal item. COB is not responsible for lost or delayed luggage. Insurance is strongly recommended.
18. Liability & Responsibility
COB acts solely as a tour operator. All suppliers (airlines, hotels, transportation) are independent contractors. COB is not liable for delays, closures, illness, pandemics, injuries, war, terrorism, mechanical failures, or circumstances beyond control. Travelers assume all inherent travel risks.
19. Medical Conditions & Accessibility
COB cannot provide personal assistance. Travelers needing help must bring a capable companion. International hotels and sites may lack U.S.-standard accessibility.
20. Behavior & Participation
COB may remove any traveler whose behavior disrupts the group or causes safety concerns. No refunds will be issued.
21. Travel Advisories
Travelers must review State Department advisories before travel. Traveling against advisories is at the traveler’s risk.
22. Legal Jurisdiction
This Agreement is governed exclusively by the laws of the State of Texas. All disputes must be filed in Texas courts.
23. Class Action Waiver
Travelers agree to bring claims only individually, not as part of a class action.
24. Errors & Omissions
COB is not responsible for typographical errors or unintentional inaccuracies. COB may correct terms or invoices at any time.
25. Post-Tour Claims
Any inquiries must be submitted within 30 days of tour completion to info@crownofbethlehem.com.
